The Logistics Invoice Administrator is responsible ensuring an efficient and smooth Purchase to Pay process for a variety of Logistics activities. This includes collaboration with internal and external stakeholders to constantly align on open items. Frequent communication with our European service providers will be key to successful execution. The successful candidate will constantly review processes and work with the team to improve those. Core Responsibilities: * Creation of Freight Purchase Orders - Generates freight purchase orders based on SAP document flow and information from our Transport Management System (Transporeon). Identifies gaps, improves data quality with internal and external stakeholders. Extracts information from SAP and creates weekly invoicing statements for carriers. Frequently communicates and collaborates with external service providers as well as the internal team to ensure an efficient and smooth purchase to pay process.
* Invoice Verification - Resolves charge discrepancies for outbound loads in the SAP freight PO process in a timely manner. Verifies invoices on the Esker platform, assigns missing accounts/cost centers and approves them. Clarifies exceptional charges with internal stakeholders. Challenges service providers on incorrect/incomplete invoices and follows up until resolution.
* Ensure timely payment - Works with service providers, Logistics Team and Accounting to ensure services are paid for in line with agreed payment terms. Aligns with external partners on state of the account and invoices that due, held due to queries or are overdue.
* Continuous Process Improvement - Constantly reviews the invoice handling and verification process, seeks for improvements and implements them. Adapts processes in line with changing business requirements and system updates.
* Team Support- Files insurance claims on behalf of the Logistics Team and follows up on completion. Occasionally supports in the day-to-day logistics operation e.g. holiday cover. Qualified candidates will have: Mandatory requirements: * Qualified education in logistics, supply chain, business administration or accounting
* Several years of work experience in one of these fields
* Very good analytical skills
* Very good knowledge in Excel and being able to prepare and present data Desirable requirements: * Experience in broader Supply Chain Management or Logistics
* Knowledge of SAP SD and MM is a strong plus
* Knowledge in MS Access could be helpful Required behaviors and skills: * Excellent communication skills in German and English language
* Ability to work in an independent and self-structured way, excellent organizational skills.
