Summary: The Emporium Service Shop provides a wide variety of remanufacturing services including Rad Fans, Blowers, Grid Blowers, Traction Motor Armatures, and Motor Coils. The Administrative Assistant is responsible for the transactions that satisfy customer demand, performing a variety of office administration tasks and providing personnel support. Duties and Responsibilities: * Greets visitors; answer questions and provide information; resolves conflict and/or problems; collects necessary information. * Deals with a diverse group external callers and visitors as well as internal contacts at all levels of the organization. * Utilizes various office equipment to perform daily duties; uses various computer software; learns new equipment and programs as necessary. * Maintains inventory of office and other supplies; receives supply orders; orders replacement materials as needed. * Receives incoming mail, sorts and distributes; prepares outgoing mail. * Processing routers to move in process material to finished goods, including the application of labor. * Processing orders to ship, including ship/confirm, customs, etc. * Create appropriate requests, bill of ladings, and additional paperwork for shipping products and parcels. * Track shipments. * Process and track various activities including scrap trucks, shoe and safety glass requests, etc. * Indirect purchasing for MRO, office supplies, shop materials as needed. * Work with HR manager to provide additional support to hourly employees. * Maintains employee files while preserving confidentiality. * Communicate challenges and suggest improvements. * Maintain community outreach initiatives through coordinating volunteer activities. * Perform other related duties as assigned. Minimum Qualifications: * High School diploma/GED required, Bachelor's Degree preferred. * Three years minimum office administration experience desired, preferably in a manufacturing or transportation setting. * Experience with shipping, receiving, and warehouse components is desired. Knowledge, Skills and Abilities: * Ability to work autonomously and as a team member. * Independent judgment is required to plan, prioritize, and organize. * Strategic and creative thinking to analyze issues that may arise and create solutions. * Ability to respond positively to feedback and implement change in process and procedures as needed. * Familiarity with office equipment. * Proficient in Microsoft Office * Ability to work in a fast-paced environment. Physical Demands: * Employee is regularly required to lift and/or move up to 10 pounds, and occasionally lift and/or move up to 35 pounds. * Employee is regularly required to sit for extended periods of time. * Employee is regularly required to see and observe small handwriting and labels. * Requires daily face-to-face interaction with employees. * The Position requires the employee to be on-site during scheduled shift to perform daily duties and responsibilities. Work Environment: The employee will normally work in a temperature-controlled office environment, with frequent exposure to electronic office equipment. During visits to areas of operations, may be exposed to cold or hot weather conditions. Is occasionally exposed to fumes or airborne particles, toxic or caustic chemicals, and loud noise.
